3. HOW WE COLLECT YOUR DATA
We collect data in three ways:
• Information you give us directly. For example when you place an order, create an account, sign up to our emails, leave a review or contact us.
• Information collected automatically. When you use our website, we collect technical details about your device and how you use the site through cookies and similar technologies.
• Information from third parties. For example payment confirmations from our payment providers, delivery updates from couriers and statistics from analytics and advertising partners.
4. THE DATA WE COLLECT
Depending on how you use our website, we may collect:
• Identity data: your first name and surname.
• Contact data: your delivery address, billing address, email address and phone number.
• Financial data: limited payment details such as the type of card and the last four digits. Your full card details are handled by our payment providers and are never stored by us.
• Transaction data: details of the products you have bought from us, payments and refunds.
• Technical data: your IP address, browser type and version, device type, time zone, location settings and operating system.
• Usage data: how you use our website, which pages you view and which products you look at.
• Marketing data: your preferences about receiving marketing from us and your communication preferences.
• Communications data: any messages you send us, such as emails about an order or a return.
We do not collect any special category data, such as information about your health, religion or ethnicity.
5. HOW AND WHY WE USE YOUR DATA
UK data protection law says we must have a lawful basis to use your personal data. We rely on the following:
• Contract: when we need your data to take and deliver your order, process payments, arrange returns and refunds and keep you updated about your order.
• Legitimate interests: when it's reasonably necessary for running our business, such as preventing fraud, keeping our website secure, improving our products and website and dealing with questions and complaints. We only do this where your rights don't outweigh our interests.
• Legal obligation: when we have to keep records for tax and accounting purposes or respond to requests from authorities.
• Consent: when you have agreed to receive marketing emails from us or to the use of non essential cookies. You can withdraw your consent at any time.
In practice, we use your data to:
• process and deliver your orders
• send you order confirmations, dispatch emails and tracking details
• handle cancellations, returns, refunds and complaints
• answer your questions when you contact us
• protect our business and our customers from fraud
• understand how people use our website so we can improve it
• send you news and offers, if you have signed up to receive them
6. MARKETING
We will only send you marketing emails if you have signed up to receive them, or if you have bought from us before and did not opt out of hearing about similar products.
Every marketing email includes an unsubscribe link. You can also ask us to stop at any time by emailing info@karunaju.com. If you unsubscribe, we will still send you emails about your orders, because they are needed to fulfil your purchase.
We will never sell your personal data to anyone.
7. COOKIES
Cookies are small text files placed on your device when you visit a website. We use:
• Essential cookies: needed for the website to work, for example keeping items in your basket and letting you check out securely.
• Analytics cookies: help us understand how visitors use our website so we can improve it.
• Marketing cookies: help us show you relevant adverts on other websites and social media and measure how well our adverts work.
When you first visit our website, you can choose which non essential cookies to accept. You can change your choice at any time, and you can also block or delete cookies through your browser settings. If you block essential cookies, some parts of the website may not work properly.
8. WHO WE SHARE YOUR DATA WITH
We only share your data when we need to, and only with trusted partners who must keep it secure. These include:
• our partner warehouses in Germany and France, which pack and send your orders
• delivery companies and couriers, so they can deliver your parcel
• payment providers, which process your payments securely
• our website and ecommerce platform providers, which host our shop
• email, analytics and advertising service providers
• professional advisers such as accountants and lawyers
• HMRC, the police and other authorities, where the law requires it
If our business is ever sold or merged with another business, your data may be passed to the new owner, who will continue to use it in line with this policy.
9. INTERNATIONAL TRANSFERS
Our orders are sent from partner warehouses in Germany and France, so your name, address and order details are shared with them in order to deliver your parcel. The UK recognises the European Economic Area as providing an adequate level of protection for personal data.
Some of our service providers may be based outside the UK and the European Economic Area. Where this happens, we make sure your data is protected by appropriate safeguards, such as the UK International Data Transfer Agreement or the standard contractual clauses approved for use in the UK.
10. DATA SECURITY
We have put appropriate security measures in place to stop your personal data from being lost, used or accessed without permission. Access to your data is limited to people and partners who need it to do their job, and they must keep it confidential.
If there is a data breach that is likely to put your rights at risk, we will tell you and the Information Commissioner's Office where the law requires us to.
11. HOW LONG WE KEEP YOUR DATA
We only keep your data for as long as we need it. In general:
• Order and transaction records are kept for 6 years after the end of the financial year in which you bought from us, because UK tax law requires it.
• Customer service emails are kept for up to 2 years after we last hear from you.
• Marketing data is kept until you unsubscribe or ask us to delete it.
• Account details are kept until you ask us to close your account.
After that, we securely delete your data or make it anonymous so it can no longer identify you.
12. YOUR RIGHTS
Under UK data protection law, you have the right to:
• ask for a copy of the personal data we hold about you
• ask us to correct data that is wrong or incomplete
• ask us to delete your data, where there is no good reason for us to keep it
• object to us using your data based on our legitimate interests, and to direct marketing at any time
• ask us to restrict how we use your data
• ask us to transfer your data to you or another organisation
• withdraw your consent at any time, where we rely on consent
To use any of these rights, email us at info@karunaju.com. We may need to confirm your identity first. We will reply within one month. Using your rights is usually free.
13. IF YOU DON'T PROVIDE YOUR DATA
If you don't give us the information we need to process your order, such as your name, address and email, we won't be able to complete your order.
14. THIRD PARTY LINKS
Our website may include links to other websites, social media platforms and services. We don't control these and we're not responsible for their privacy practices. Please read their privacy policies when you visit them.
15. CHANGES TO THIS POLICY
We may update this policy from time to time. The latest version will always be on this page with the date it was last updated.
16. COMPLAINTS
If you're unhappy with how we have handled your data, please contact us first at info@karunaju.com and we'll do our best to sort it out.
